Estipona Group is seeking a kick-ass Account Coordinator (AC) to support our kick-ass work. If you are a no-loose-ends, details matter, get-it-done kind of person who isn’t afraid of (nay embraces) a constantly changing, fast-paced environment, we should talk. The AC will report to the Account Executives and assist them in day-to-day client and internal project management activities.

Estipona Group is a full-service creative agency founded in 1993 — that’s 28 years for the non-mathy or about 114 in ad agency years. For about half that time we have been a virtual agency (i.e. long before COVID made Zoom work a thing). We did not have a crystal ball telling us to prep for a worldwide pandemic, but we did choose to focus on investing in great people and tech rather than lobby furniture and conference room flower arrangements. We are a small, but mighty Reno-based agency, that includes a few teammates sprinkled across the West and a web development team overseas. We have very rad clients who are doing great things in the world, including, but not limited to, saving lives (not even joking!). Our roster is nicely varied with a strong focus on health care, as well as education, government and non-profit.

Details:

  • Location: Must live in Reno, Nevada or within 20-40 miles of it
  • Job Type: Full-time
  • Schedule: Monday-Friday, flexible hours but generally 8am-5pm PST
  • Education: Bachelor’s degree preferred but not necessary
  • Experience Level: 0-2 years of experience preferred (project management, agency or in-house creative, including internships)

Responsibilities:

  • Assist Account Executives (AEs)
    • Attend external and internal meetings with the AEs, take notes (and file those notes accordingly), follow up on any action items to make sure everything gets done as planned or promised
    • Open jobs, assign tasks, pull reports, and create invoices in our project management software
    • Work with team members / vendors to execute work, including review of work
    • Perform research and other marketing-related tasks as assigned by the AEs
    • Learn about the client’s industry, products, business culture and competition
    • Help strengthen client relationships
  • Client management. After demonstrating ability, AC may gain direct client management responsibilities like:
    • Client communications and relationship building
    • Ensure client deliverables are on-time and on-budget
    • Prepare for client meetings with an agenda, run the meeting / take notes, send the notes out after the meeting and follow-up on any action items
    • Assign work to team members / vendors as needed
    • Create and send estimates, invoices and proposals as requested
    • Review all work for the following criteria before sending to the client
      • Regular proofing (grammar & spelling)
      • Strategy (Is it in the client voice? Did we accomplish the goal?)
      • Client preferences (e.g. client hates purple, image can’t be used because employee no longer works there, etc.)
  • Complete a daily timesheet
